STUDENT TRAVEL POLICY
Computer Science Ph.D. Program

The department encourages students to travel to conferences and workshops
to enhance their professional and career development.
Student travel is unlimited as long as there are funds available from
either a faculty research contract and/or discretionary funds. However, if
you want to attend a conference/workshop and there is no funding available
from those sources, there also may be funding available from the department.
Policy:
- If you want to go to a conference, your advisor will probably
support your travel. If s/he cannot, then departmental funds
may be available from Deb Cavlovich.
- Since departmental funds are limited, some requests may not be
approved, and some may not receive full funding; but as much
as possible, the department will try to support your travel.
Process:
You and your faculty advisor/research sponsor should first agree that you
should take the trip. Then
- Get a Student Travel Authorization Form from the main office.
(This should be done IN ADVANCE of the trip.)
- Get your advisor/research sponsor's signature (on the Faculty
Research Sponsor line). Then either
- S/He indicates the amount of support you should receive
and its source (be sure the charge number is filled in!),
or
- S/He states (in Comments) that no funds are available
from research or discretionary accounts.
- If no faculty support is available, take the form to Deb Cavlovich for approval of departmental sponsorship.
- The maximum to be reimbursed will be $200 + registration
fee if attending only; $600 + registration fee if
presenting a paper.
- Funding is usually available for no more than one
departmentally-sponsored trip per year.
